Built Simple Solutions Pty Ltd (ABN 42 683 640 360), trading as “Built Simple” (“we”, “us”, “our”), is committed to protecting your personal information. This Privacy Policy explains how we collect, hold, use and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Information we collect
Depending on how you use the Platform, we may collect:
- Contact information: name, email, phone, address.
- Business and project information: company name, ABN, site locations, schedules, budgets, contractor details.
- Account credentials: usernames, passwords, security tokens.
- Billing information: payment details for paid subscriptions (processed by our payment provider; we do not store full card numbers).
- Communications: emails, call recordings, chat logs, SMS.
- Usage data: IP address, browser, pages visited, cookies, interaction patterns.
- Content you upload: project plans, photos, contracts, site reports.
We collect sensitive information (e.g. health or accessibility information for site safety) only with your express consent or as authorised by law.
If you provide personal information about another person, you must have their permission and provide them with a copy of this Policy.
2. How we collect information
- Directly from you when you register, sign in, or submit content via our Platform.
- Automatically when you use the Platform (cookies, analytics, server logs).
- From third parties where lawful (e.g. payment processors, marketing partners).
3. Why we collect and use your information
- Provide, operate and improve the Platform.
- Communicate with you, including support and account management.
- Process payments and manage subscriptions.
- Personalise your experience and deliver relevant content.
- Maintain security, prevent fraud, and enforce our Terms.
- Send marketing communications (only where permitted).
- Comply with legal obligations and respond to lawful requests.
4. Disclosure of your information
We may disclose your personal information to:
- Service providers (hosting, email, payment processing, analytics) under contracts requiring equivalent privacy protections.
- Professional advisers (lawyers, accountants, auditors) where necessary.
- Government authorities and law enforcement where required by law or to protect rights and safety.
- Business successors in the event of a merger, acquisition, or asset sale.
- Other parties where you provide consent.
5. Cross-border data transfers (APP 8)
Some recipients may be located outside Australia, including in the United States and the European Union (e.g. cloud hosting, analytics, payment processing). Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles your information consistently with the Australian Privacy Principles, typically through binding contracts.
The countries where your information may be processed include: Australia, United States, United Kingdom, Ireland, Singapore.
6. Use of artificial intelligence
We use AI features to assist with project planning, recommendations, and analysis. AI processes the same personal and project information you provide and is subject to the same security and privacy controls. We maintain human oversight for key decisions; AI recommendations support, not replace, your professional judgment. You can disable AI features in your account settings.
7. How we hold and protect your information
We implement reasonable technical and organisational measures including:
- Encryption of data in transit (TLS 1.2+) and at rest where applicable.
- Role-based access controls and multi-factor authentication for staff.
- Periodic security audits and threat monitoring.
- Staff training on privacy and confidentiality.
- Secure premises and physical access controls.
Despite our precautions, no system is 100% secure. You are responsible for safeguarding your account credentials.
8. Notifiable Data Breaches
Built Simple complies with the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988 (Cth). If we become aware of a data breach that is likely to result in serious harm to any individual whose personal information is involved, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable.
9. Data retention
We hold personal information only for as long as needed for the purposes outlined in this Policy or as required by law. Specifically:
- Account information: while your account is active and for up to 7 years after closure (for tax, audit and legal record-keeping).
- Project content: while your account is active. After cancellation, content is retained for 90 days (recoverable on request) and then permanently deleted.
- Marketing data: until you unsubscribe.
- Web analytics: typically 26 months in aggregate form.
When personal information is no longer needed, we destroy or de-identify it as required by APP 11.2.
10. Children
The Platform is intended for use by adults (18+) operating in a business capacity. We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us and we will delete it.
11. Direct marketing
If you are an existing or potential customer, we may send you marketing communications about our products or partner offers we think may interest you. You can opt out at any time by clicking the unsubscribe link in any email or contacting us. Opting out of marketing does not affect transactional or operational communications (e.g. security alerts, billing).
12. Cookies and tracking
We use cookies and similar technologies to remember preferences, analyse usage, and deliver personalised content. You can disable cookies in your browser settings, but some features may not work properly.
We use Google Analytics and similar tools that may set their own cookies. Their privacy practices are governed by their respective policies.
13. Your rights
You have the right to:
- Access the personal information we hold about you (APP 12).
- Correct inaccurate, outdated or incomplete information (APP 13).
- Withdraw consent for marketing or non-essential processing.
- Lodge a complaint (see Section 15).
To exercise these rights, contact our Privacy Officer (Section 14). We aim to respond within 30 days. We may verify your identity before fulfilling a request, and may charge a reasonable cost-recovery fee for access (notified in advance). If we refuse access, we will give written reasons unless restricted by law.

16. Changes to this Policy
We may update this Policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be notified via the Platform or by email. Continued use after changes take effect constitutes acceptance.
